What is an AI SOP Captain and how can it help your business?

The short answer

An AI SOP Captain is an assistant inside your Company Operations Hub that helps employees find and understand the SOPs your business has already approved. Someone can ask a plain-language question — "what do I do if a delivery arrives damaged?" — and be pointed to the relevant approved procedure and its steps. It does not write policy, approve procedures, make unsupervised risk decisions or guarantee compliance. Your approved procedures and your responsible people remain the authority.

On a flight deck the most useful colleague is the one who knows exactly where the right page is. That is the job I designed the AI SOP Captain to do — no more, and no less.

Why would a business need one?

Most organisations do not lack procedures; they lack procedures people can find at the moment they need them. A new starter on a late shift will rarely search a shared drive for a fourteen-page document. They will ask whoever is nearby, and the answer depends on who that is. I wrote about that pattern in what happens when critical knowledge lives in people's heads. The AI SOP Captain is designed to make the approved answer the easiest one to reach.

What does it help employees do?

In the delivered Company Operations Hub, the AI SOP Captain supports employees using their organisation's approved SOPs. In practice that means:

  • Finding the relevant approved procedure from an everyday question, rather than an exact document title.
  • Explaining the steps of that procedure in plain language, in the order they happen.
  • Pointing people back to the approved source, so the procedure — not the assistant — remains the reference.

Further assistance, such as highlighting procedures that are approaching or past their review date, flagging questions the approved SOPs do not answer, or helping an owner prepare a first draft for human review, is something I scope with each client. Treat those as possibilities to discuss on a discovery call, not features I promise in every Hub.

What does the public demo actually show?

The interactive demo illustrates the idea using a fictional company and predefined, scripted responses. It is not live AI and contains no real company records. It is there to show the shape of the experience, not to prove capability. The Company Operations Hub page describes the actual deliverable.

What will the AI SOP Captain never do?

  • Approve, publish or retire a procedure. Approval stays with your named approvers — see who should create, approve and manage SOPs.
  • Make unsupervised risk, safety or disciplinary decisions. Accountable people make those.
  • Guarantee legal, regulatory or safety compliance. Your obligations and specialist advisers come first.
  • Replace training. It reinforces six-monthly training and refreshers; it does not substitute for them.

In aviation, automation is valued precisely because pilots remain responsible for monitoring it. That is an analogy, not a regulation that applies to your business — but the principle is sound: the human stays in command.

How does it stay accurate?

An assistant can only be as good as the procedures behind it. If an SOP is out of date, a helpful answer becomes a confident wrong answer. That is why the AI SOP Captain sits on top of governance rather than replacing it: named owners, one current approved version and review dates that are honoured. When a procedure changes, the approved update is what the assistant should reference.

How should you introduce it to your team?

  • Start with procedures people already ask about most often.
  • Tell employees plainly what it is for, and what it is not for.
  • Encourage people to report answers that seem wrong; treat each report as a prompt to check the procedure.
  • Review those reports at each six-monthly update.

If you are worried that this adds another system to an already busy team, read how to introduce SOPs without creating unnecessary bureaucracy.

Frequently asked questions

Is the AI SOP Captain included in the Company Operations Hub?

Yes. It is included in the delivered client Hub to support employees using their approved SOPs. Additional assistance beyond that is scoped individually.

Is the demo using real AI?

No. The public demo uses fictional data and predefined responses to illustrate the experience.

Can it approve or change our procedures?

No. Only your named approvers can approve procedures. Any drafting help is always subject to human review and approval.

Does using it make us compliant?

No tool can guarantee compliance. It helps people find your approved procedures; your obligations and specialist advice still apply.

What happens if it gives an answer that seems wrong?

Employees should follow the approved procedure and their supervisor, and report the answer so the owner can check the source.
